Job Description

Job Summary

The Operations Coordinator (P/T) is a valuable part of the team who will assist with the day-to-day operations of Tennessee Alliance for Legal Services (TALS).  This position will assit TALS with its day-to-day activities and functions.  

Job Responsibilities

Duties/Responsibilities include but are not limited to:

  • Managing documents in Microsoft Excel, Word, PDF and hard copy
  • Managing IT inventory and SharePoint site (upkeep and organization)
  • Preparing reports and documents, including newsletters, emails, and annual report, and TALS social media
  • Assisting with planning and preparation for annual conference
  • Answering information requests via telephone and email
  • Assisting with preparation and execution of meetings and trainings
  • Preparing board packets and meeting minutes
  • Tracking TALS staff and volunteer annual training and conflict of interest requirements
  • Ensuring TALS annual filings are timely and accurately filed
  • Data entry and record keeping
  • Preparing invoices and other financial documentation and reporting assistance as requested (including some assistance with the budgeting process)
  • Ordering and managing office supplies
  • Assisting other staff with administrative tasks as requested (including troubleshooting office equipment)
  • Performing some HR functions (tracking time off, some payroll functions)
  • Assisting Executive Director as requested

Qualifications

  • Four-year college degree preferred
  • Some bookkeeping and accounting skills
  • Minimum of two years of relevant experience
  • Proficiency with Microsoft Office, Word, Excel (especially formulas) and Outlook
  • Detail oriented
  • Ability to prioritize and complete work with accuracy in a timely manner
  • Strong written and oral communication skills
  • Ability to remain flexible in a fast-paced environment

Additional Information

Benefits

This position is part-time, up to twenty-five (25) hours per week.  Work during office hours between 8:30 a.m. and 5:00 p.m., Monday through Friday. Work after  hours or on weekends may be occasionally required. Occasional travel may be necessary. Position is based in the office with some flexibility for one work from home day per week.
