Part Time Executive Administrative Assistant Location Holly Springs, GA :

AES is expanding its support staff by adding a part time executive administrative assistant to keep the owner organized, prepared, efficient and productive in his day to day activities. We are looking for a quite a few skill sets.

Summary You will work side by side with the owner in a supporting role creating follow up systems to track areas such as client projects, report status, inquiries and requests for proposals (RFPs) and feed back to President to ensure there are no gaps, manage his schedule and assist with all administrative areas to keep him moving.

Responsibilities Include creating/scheduling/managing calendars, writing and preparing reports, creating presentations, following up with clients, scheduling meetings and offering strategic assistance wherever needed—all with the intent of keeping the President organized and well informed.

To be successful in this role You should be confident, well-organized, have great time management skills, anticipate needs and be able to act without guidance. Ultimately, you will contribute to the efficiency and success of our business by providing personalized and timely support to the owner and occasionally the Operations Manager.

More of what you will be responsible for

  • Act as the point of contact among employees, clients, vendors and other external partners, on behalf of the President
  • Manage information flow in a timely and accurate manner
  • Anticipate needs of leadership
  • Manage executives' calendars and set up meetings; Ensure follow-ups where necessary
  • Create systems that support the executive team
  • Make travel and accommodation arrangements
  • Prepare reports, presentations, communications
  • Author email responses and return phone calls on behalf of owner. Follow up when necessary.
  • Analyze and interpret incoming information to deduce appropriate response
  • Research skills, summarize data, general reports
  • Assist with special projects and events as needed.
  • Screen and direct phone calls

Must Haves:

  • 8+ years of work experience as an Executive Assistant, Personal Assistant or similar role
  • Excellent MS Office/Google Suite knowledge and skills
  • Outstanding organizational and time management skills
  • Proficiency with office equipment and applications (e.g. e-calendars, phones and copy machines)
  • Familiarity with CRMs (we use SharpSpring)
  • Excellent verbal and written communications skills
  • Ability and dedication to create and implement effective support systems.
  • Adept at handling multiple tasks and prioritize effectively.
  • Attention to detail and high level of accuracy.
  • Understanding of business fundamentals
  • Understanding of fiscal responsibility
  • Excellent communication skills: i.e., written, oral, active listener; phone skills and email skills
  • Discretion and confidentiality
  • Team-player; able to collaborate with other staff
  • High School diploma or GED required

Nice to Haves

  • Associates Degree in Office Management/Business Management
  • Understanding of bidding and construction projects
  • Understanding of fisheries management

Job Type: Part-time

Pay: $22.00 - $28.00 per hour
