Job Description

Responsibilities

• Manage the office’s daily functions, including office supplies, equipment, and facilities
• Liaise with external vendors (e.g., cleaning, catering, building maintenance) to ensure smooth office operation
• Assist staff with their office needs, setting up events, and supporting various departmental requests
• Manage incoming and outgoing mail
• Provide administrative assistance as needed
• Onboarding & Offboarding: Assist in the onboarding of new employees, including setting up workstations, and facilitate offboarding processes when necessary
• Track office-related expenses and help with budget reporting
• Collaborate with other team members to ensure smooth inter-departmental coordination and communication
• Event Coordination: Organize in-office events, holiday gatherings, and team-building activities
• Customer On-Sites: Organize customer on-site visits, including assisting with travel plans, office readiness, lunch catering, giveaway bags
• Booking and arranging travel including airline, hotel, car service reservations and other accommodations.
• Special projects as assigned.

Qualifications

• 2-3 years of experience in office management or similar administrative roles.
• Strong organizational skills with an ability to prioritize and manage multiple tasks simultaneously
• Excellent written and verbal communication skills
• Proficiency in Microsoft Office Suite and other office management tools
• Ability to work independently and take initiative
• Positive attitude with strong interpersonal skills
• Previous experience managing office logistics, supplies, and vendor relationships a plus
• Preferred:
• Bachelor’s degree or equivalent work experience.
• Experience in a fast-paced or tech-oriented environment
