Job Summary

This position is responsible for maintaining all records for the Municipal Court of the Town of Thunderbolt. Responsibilities include handling monies from fines and forfeitures, citation tracking, warrant tracking, court requirements, and interaction with the public and Judges assigned to the Court, as well as the Police Department.

Scope & Effect

This position provides a link between the officers of the police department and other law enforcement agencies with the judicial system of the Town of Thunderbolt, Chatham County and the State of Georgia. This position acts as a resource of information that can affect the public in general. Errors can result in the loss of information on offenders, monies not collected and reported properly, and a poor public image.

Responsibilities

  • Operate the Office of the Court Clerk within the operating policies, practices, and applicable laws governing the Office of the Clerk of Court.
  • Effectively communicate with all Judges and carry out court orders without deviation while being responsible to the Chief of Police and ultimately to the Town Administrator and Town Council for the day-to-day operation of the Court offices. 
  • Prepares docket for court for all Court types (Drug, Town Ordinance, Zoning, Regular, and Felony court).
  • Executes order/fines of the Judge(s) from the bench.
  • Operate the Office of the Court within the budgetary boundaries set by recommendation by the Town Administrator and approved by Town Council.
  • Responsible for all daily deposits and submitting that to the Town Cashier’s office and to the Finance Manager.
  • Ensure that all monies received daily is done accurately and transmitted to the Town Cashier’s office daily for agreement between the Courts ledger and the overall town’s ledger. 
  • Shall carry out the objectives of the Court by submitting the sentencing order to Probation Services designated by the Town of Thunderbolt in order that they may manage all facet of an offender’s probation.
  • Will certify that all copies of requested documents are true copies.
  • Will maintain the strictest of confidentiality in matters regarding the Court without exception.
  • Will provide all documentation requested by the Judge for his review during court session.
  • Will ensure that audio recording of court sessions are recorded properly and maintained in a file.
  • Will properly enter all data concerning each offender that is necessary to maintain and track the individual through the Municipal Court system.
  • Will enter all dispositions rendered by the Judge into the GCIC for Criminal History Record purposes.
  • Will oversee the input of all traffic tickets and ordinance violations into the MDS Court.
  • Assists all officers within the department with GCIC entries, run tags, clear warrants, and enter missing persons on GCIC
  • Maintains all files for GCIC entries to include criminal histories, lost or stolen entries, and vin checks
  • Assist with Blue Line court documents and scheduling
  • Must complete court clerk training yearly, TAC certification every two years, and CJIS training every two years to be able to run GCIC
  • Validate GCIC records for monthly warrants
  • Maintains all filing for warrant and probation files
  • Run criminal background checks for Town employment, alcohol licenses, and as requested
  • Ensure all audits are completed accurately and timely
  • Will carry out other duties as they may be assigned from time to time.

Qualifications

High School Diploma required. Four-year (4) year degree from an accredited institution in a related field preferred or equivalent experience. Must be at least 21 years of age and have a valid GA driver’s license. Experience in the legal profession or training education in court operations desired. Candidate must be detailed oriented, professional, and personable - must be able to work well with the public, take direction from the Chief of Police and Judge(s) and effectively handle multiple tasks and other duties that may be required from time to time.
