CONTEXT OF THE JOB:

Under the general direction of the Senior Business Administrator, the Business Administrator I is the primary contact for business and financial activities related to Undergraduate Education and the Honors College.  The Business Administrator I is responsible for overseeing the day-to-day business and financial activities of the office as well as administrative needs and will interact with all levels within the University. The incumbent assists in monitoring the annual operating budget, including all financial obligations and expenses, ensuring compliance with all Department, College, and University policies; and is responsible for general administration and office management. The Business Administrator I oversees and coordinates the financial and administrative aspects of all educational activities.

MAJOR RESPONSIBILITIES:

  • Manage the expense tracking and procurement card reconciliation for Undergraduate Education and the Honors College. Reviews and approves Procard allocations and expenditures. Ensures compliance in areas of unallowable charges for allocations and advises faculty, staff, students, and postdoctoral associates accordingly.
  • Maintain the Labor Allocation Module (LAM) for sponsored activity and effort commitment on research projects.  Monitors and reviews monthly time sheets for departmental non-exempt employees.
  • Serve as the HR Liaison for the Honors College (HC), the Undergraduate Research Program (URP), and the Office of National Fellowships (ONF).  Serves as back-up HR Liaison for the University Studies program (UST), the Academic Coaching and Tutoring center (ACT), the First Year Experience initiative (FYE), and UD Scholars during peak times and position vacancies.
  • Manage the onboarding process for new student workers, miscellaneous wage employees, and affiliated professionals with unit Administrative Assistants. Facilitates new hire paperwork, Criminal Background Check requests, and separation paperwork. Serves as back-up HR Liaison for Undergraduate Education during peak times and position vacancies.
  • Routine monitoring, approval, and reporting of pro-card expenditures; processing requisitions and financial transactions including fiscal year-end procedures, including supplemental pay forms, bi-weekly pay in UD Workforce, reimbursements, monitoring expenditures on all departmental accounts for Honors College and Undergraduate Education.
  • Provide orientation and interpretation of University and Department policies and procedures for new faculty and professionals.
  • Work with the Sr. HR Generalist to ensure HR processing, including web forms and recruitment forms.  Works closely with the College HR Director on personnel matters. Manages the office and administrative staff.
  • Recruit, hire, and provide training and orientation for new staff and part-time employees on the operation of the College and policies, procedures and benefits of the University.
  • Maintain effective communication with the Dean’s Office, HR Director and other University offices, and external partners to ensure positive working relationships. Represent the business interests of College to these different parties as needed.
  • Oversee maintenance of offices including space assignments and coordination of equipment purchase and repairs.
  • Support office staff’s IT needs and serves as a liaison to central IT.
  • Attend college staff meetings and actively participate by making recommendations regarding new administrative policies and procedures or changes and improvements to existing processes; develop and/or initiate new office forms and procedures.
  • Responsible for Enrichment awards process for Honors College.
  • Administer work study researcher program including Onboarding and budgeting for wages.
  • Assist McNair Director with McNair Scholars Program expenditures and grant management and compliance including Effort reporting.
  • Create, design and maintain multiple databases and generate reports as needed.
  • Perform other job-related duties as assigned.

QUALIFICATIONS:

  • Bachelor's degree and four years of experience or an equivalent combination of education and experience. Degree in business, accounting, or related field preferred.
  • Skill in budget preparation and management.
  • Ability to analyze budgetary expenditures for compliance with approved budget.
  • Excellent organizational skills, with knowledge and understanding of the practices of effective financial management.
  • Ability to use advanced spreadsheet techniques to run financial calculations and reports.
  • Ability to edit content, structure, and format of a range of written material.
  • Program planning and implementation skills.
  • Ability to work independently and to evaluate the work of others.
  • Effective communications and human relations skills
  • Supervisory experience preferred.
  • Ability to maintain confidentiality in all interactions.
  • Experience in higher education preferred.
  • Familiarity with University financial and travel policies and procedures, UDataGlance, and Peoplesoft a plus.
  • Skill in directing and enforcing policies and procedures.
