Role Description

This is a full-time on-site role for a Board Liaison (this is an administrative clerical position) located in Scottsdale, AZ. The Board Liaison will be responsible for coordinating board meetings, managing board communications, and providing administrative support to the board of directors.

What you will do:

Facilitate communication between the board of directors, advisory board and senior leadership team. Provide administrative support to the board and executive committee. 

  • Under the guidance of the National Governing Board, coordinates logistics and agenda materials, and ensures all business is conducted expeditiously at the National and State Board meetings.
  • Creates, formulates, and implements annual operating and meeting schedules including, but not limited to negotiating standing expenditures, hotels, airlines, meeting venues, etc.
  • Communicates regularly with the various Board Chairpersons, Chairs, and Committee Members through minutes and letters/emails, articulating and serving as spokesperson for the Founders and/or Executive Vice President of the Board, and alerting them of issues that may have significant operational or strategic impact or sensitivity.
  • Plans and coordinates board meetings, calls and other gatherings.
  • Drafts agendas, preparing and distributing board books, and preparing presentations and materials. 
  • Attends board meetings and takes minutes. 
  • Works with the executive team in preparing board materials and assists with clear and open communication between them and the board.
  • Maintains discretion and confidentiality regarding all board proceedings and members.
  • Maintains up to date contact information for all board members.
  • Distributes meeting reminders, agenda, reports, and necessary documentation.
  • Maintains all board governing documents and all other documentation. 
  • Covers the receptionist desk for breaks and vacations.

What we need from you...

  • Bachelor's degree and 1 to 2 years of experience; equivalent experience (5 years)
  • Minimum of 4 years working with a board of directors or as an executive administrator with board experience
  • Prefer someone with experience working with community and political leaders
  • Excellent communication and relationship-building skills
  • Excellent organization skills and attention to detail
  • Knowledge of Microsoft Office programs, including Word, Excel, and PowerPoint, and Outlook
  • Ability to multi-task in a fast-paced and ever-changing environment
  • Ability to present a professional, courteous, service-oriented demeanor and decorum
  • Ability to maintain confidentiality 
  • Must be at least 21 years of age
